And adoption is driven by factors that have nothing to do with feature sets — ease of login, interface familiarity, quality of onboarding, social proof from colleagues, and the psychological safety to experiment and fail. Pick the one that best fits your existing technology ecosystem — the one that integrates with tools you already use and doesn't require switching platforms. If two options seem equivalent, pick the cheaper one. If they're the same price, pick the one with better onboarding documentation.

Spend no more than one week on this decision. I'm serious. One week.

Week 3-4: Deploy and train

Get the tool running. Train your team. Not a three-hour training marathon — short, focused sessions on the specific workflows you're automating. Pair each team member with the tool for their daily work and give them explicit permission to experiment.

Month 2: Measure and adjust

After 30 days of active use, measure the results. How much time is being saved? What's working? What isn't? What do users wish the tool could do differently? Use this data to adjust your configuration, your training, and your expectations.

Month 3: Decide whether to expand

Based on real usage data — not theoretical projections — decide whether to expand the tool to additional workflows, add a complementary tool for a different problem, or switch to a different tool in the same category. This decision, based on 60 days of actual experience, will be infinitely better informed than any pre-purchase evaluation could be.

The Ongoing Discipline

This isn't a one-time process. The firms getting the most value from AI in 2026 are running continuous cycles of identify, deploy, measure, and expand. They treat AI adoption as an operational discipline — like business development or quality management — rather than a technology project with a start date and an end date.

The Contrarian Truth About AI Strategy

Every other article this week was about tools. Features, pricing, comparisons. That content is useful for the decision in Week 2 of the framework above — choosing which specific product to deploy for a specific problem.

But the real AI strategy for professional services firms in 2026 isn't about tools at all. It's about velocity. The speed at which you move from consideration to deployment. The speed at which your team integrates AI into daily workflows. The speed at which you iterate based on real-world feedback. The speed at which you expand from one use case to many.

The firms that are pulling ahead aren't the ones with the best tools. They're the ones that deployed six months ago, iterated four times, and are now running at a productivity level that late adopters will need a year to match. I'd introduce it to my team on Thursday with a simple instruction: use this for the next 30 days and tell me what you think. And on Friday, I'd move on to running my practice, knowing that the AI is working in the background and I'll evaluate results at the end of the month.

Total time invested: three to four days. Total risk: one month of subscription fees. Total potential upside: a compounding productivity advantage that grows every month it's in place.

The firms that win with AI won't be the ones that chose perfectly. They'll be the ones that started. And then kept going.
